Francophone Charter School of Oakland is Hiring a Director of Operations Near Oakland, CA

The Organization

Francophone Charter School of Oakland is a French immersion charter school that opened its doors in 2015. Our mission is to provide a dual-immersion curriculum to a diverse community of students and to develop bilingual and bi-literate global citizens who are open minded and who value intellectual curiosity, personal integrity and creativity.

Summary of Position

The Director of Operations is critical to the successful and efficient operation of our school. The Director of Operations collaborates with the Executive Director and works closely with the Operations Manager to lead all non-instructional functions of the school, enabling the instructional staff to focus on student achievement. 

Key responsibilities:

Duties of this position include but are not limited to: 

Human Resources and Finance

  • Oversee and implement HR administration including background checks, onboarding, offboarding, personnel files, coordination of benefits and administration of leaves.
  • Facilitate hiring, including collaboration with Hiring Managers for job description creation, job posting, initial screening of candidates, and creation of employment agreements.
  • Coordinate payroll processing including timesheet capture, teacher coverage and stipend pay, payroll file creation and quality assurance in partnership with Paylocity and our back office service provider.
  • Oversee the accounts payable and receivable processes in partnership with back-office provider, and facilitate contracts and agreements with third-party vendors. 
  • Manage all purchasing processes from placing orders with vendors to tracking deliveries and maintaining inventory–this includes but is not limited to ordering furniture, classroom equipment, curriculum, and supplies.
  • Work with the Executive Director and back office provider to build and monitor the school budget.
  • Maintain and monitor bank accounts and credit cards

Visas and Credentialing

  • Collaborate with the Executive Director and external partners to ensure that all teachers are appropriately credentialed, including coordinating induction.
  • Collaborate with the Executive Director and external partners to oversee, coordinate and monitor teacher visas from initial offer of employment through the end of their employment.

Student Data Systems

  • Oversee accurate attendance records and ensure compliance with data reporting with authorizer and county/state/fed agencies. Develop and implement attendance policies and systems.
  • Collaborate with academic staff to promote high attendance through policies and systems to lower chronic absenteeism.
  • Oversee CALPADS submissions in partnership with back office provider.
  • Support Executive Director to complete and submit all state and local reports.

School Operations

  • Manage the School Nutrition Program, coordinating with meal vendor, ensuring compliance, conducting monthly food safety audits and ensuring meal program financial health, with support from the Operations Manager.
  • Collaborate with the Executive Director and Outreach Committee in developing and implementing comprehensive enrollment outreach plan–including but not limited to attending enrollment events, visiting local preschools, and creating promotional materials.
  • Support the Operations Manager in implementation of the enrollment cycle.
  • Collaborate with the Executive Director and the operations team to establish and maintain school schedules, calendars, and student records in accordance with local, state, and federal requirements.
  • Collaborate with the Executive Director on large scale, long term facility strategy and implementation.
  • Ensure the maintenance of campus facilities by managing custodial personnel and third party contracts for trash removal, recycling, and security.
  • Manage and evaluate the operations staff, including the Operations Manager, Office Managers, Custodians, and others.

Complete projects and perform other duties as assigned.

Requirements:

  • 4 or more years of work experience;
  • Project planning experience, with proven ability to see large projects through to completion;
  • School-based or other educational experience preferred;
  • Experience managing others preferred.
